Technology Loaner Pool

The Technology Loaner Pool program available through the Office of Information Technology is a success! The program aims to meet the need for short-term, unanticipated computer hardware devices that are in high demand among students, staff and faculty. 

Since the program launched in March 2020, the Loaner Program has responded to 400 requests for device loans which indicates that our community depends on this program for access to computing devices when they need it. Read below to learn more about the program, how to participate and view items available for loan.

Loan Terms:

To help ensure the continued success of this program, please note the following policy (updated January 2023):
  • Submit Request through this Online Form: To participate in this program, please submit a request through this online form. Once your request is received, an OIT representative will be in contact to request any additional information. We will confirm loan eligibility, and device availability, and arrange for pick up or delivery.  Please note, that there may be as much as a 2-3 business day time to approve and prepare a loaner.
  • Maximum loan duration is 60 days from the date of the loan or the end of the current term whichever is sooner (Due Date).  All loans not returned by the Due Date (60 days or the end of the current term) become a rental and are subject to a $100 fee for each term (Fall, Spring, Summer) until it is returned. For students, the rental fee will be applied to the student’s account.  For staff/faculty, the fee will be applied to the budget account provided at the time of the loan. 
  • OIT will prioritize student, staff, and faculty loans that provide temporary relief in times of emergency or unplanned events, a try-before-you-buy experience, or other short-term/unanticipated needs. Additional requests are subject to approval by CIO.
  • OIT reserves the right to select from available devices for loan.
  • Policy updates are applicable to all existing and future loans.

Sample scenarios the Technology Loaner Pool program IS well suited for:

  • Try-Before-You-Buy:

  • Faculty who are new to teaching online and wish to trial a pen touch tablet or other peripheral(s) to create recorded lectures or other instructional material. 

  • Faculty who would like their Teaching Assistants (TAs) to trial a new grading procedure using a pen touch tablet.

  • Short-term, Unanticipated Need:

  • Staff conducting one-time training or other events.

  • Students who need a laptop device temporarily until their own is repaired or replaced.

  • Student requests based on financial need (additional approvals required). 

Examples the Technology Loaner Pool program is NOT for:

  • Loans that replace the need to purchase
  • Loans to faculty who are teaching online over multiple terms
  • Loans to faculty TAs over multiple terms
  • Loans for extended periods of time or multiple loan requests/renewals
  • Loans to students seeking loans to replace purchasing, for convenience rather than need

Devices available through this program are designed to meet short-term, temporary technology needs for students and faculty, and is not intended to not replace the need for students, faculty or staff to purchase their own technology for course-related, and other work. Device Returns:

Please return your loaned device (including power cord, peripherals, and any available original packaging) to the OIT Service Center located at CAMP 171A between the hours of 8am and 4pm Monday through Friday.  Contact the Help Desk if you need alternative return arrangements.

FAQ Technology Loaner Pool

Do I qualify for a loan?

OIT will prioritize equipment loans to current Clarkson students, staff and faculty who request a loan for any of the reasons stated above. At this time, demand for loaned devices exceeds the supply, and loan requests will be denied. We appreciate timely returns of the devices at the designated time. 

**How will the loan work? **

You will be asked to submit a request form (link) and user agreement. Maximum loan duration is 60 days from the date of loan or end of current term whichever is sooner. Due to high demand, loan renewals or extensions will not be granted.

Is this equipment available for CRC faculty?

Yes. We will make arrangements for pick up at CRC.

What are examples of uses the Technology Loaner Pool program is NOT for?

Technology Loaner Pool is a Success: (March 2020-October 2021)

  • 247 device loans have been made to students, faculty, and staff.
  • Half of all device loans are going to students.
  • One device is loaned every two days.

These loans are instrumental in ensuring access to devices when individuals wish to try something new before making the commitment to purchase or in a short-term, unanticipated situation when a temporary device loan will bridge the time until a permanent replacement can be secured. The data demonstrates the value and ongoing commitment to meeting the needs of our community.
