Step 1 - Review Original Pages in Confluence

Overview:

Confluence will sunset at Clarkson by Fall 2023 which means all desired content must be converted to a new platform, called Bookstack. This page guides Content Owners of pages in Confluence through Step 1 on the Conversion Project. In this first step, the goal is for Content Owners to determine which pages need to be converted to Bookstack and which pages will not move.

Please  review and complete the steps described below.

Please be mindful of the overall project schedule. Your work drives dependencies for the project to complete on schedule.

Pro Tip: Set task reminders so that you complete your portion of the project by the designated timelines. Communicate if you need an extension.

Steps:

1) Access the Google Sheet and Tab(s) containing the pages you own as a Content Owner.
2) Look for the Pages linked in Confluence Page (Column E), look for your name as Content Owner (Column B).
3) On each linked page, click through to view the page content, then determine Action:
Choose one:
  • Do Not Move To Bookstack
  • Copy to Bookstack

Note: This is a great opportunity to purge pages that are no longer needed or relevant. As you review, please use a critical eye and ask questions like: is the content on this page still relevant? is this duplicated elsewhere? should this be organized with other pages? Please mark pages appropriately. Communicate if you have questions.

4) Update each of your pages in the Action (Column A) by selecting from the drop down.

Footnotes:

  • I have provided a few rows with my name marked SAMPLE to provide an example.
  • If you believe you have been assigned a Content Owner in error, please update in the cell and notify that individual.
  • See Key sheet for explanation of the Actions.
  • Feel free to use the Notes (Column B) or insert a comment to tag an individual.
  • We are adding the permalink to the page in Bookstack to the spreadsheet. For cross referencing, should we need it.
  • Tags: we are replicating any tags being used in the Confluence article, and adding any others that are requested. I am also using Tags as part of the review workflow. Currently we are tagging pages with To Review+intitals of the content page owner. This will allow that individual to filter pages in Bookstack by the To Review+Initials
