Goal

AdvisingAlerts noteshelp areidentify astudents waywho formay facultybe in need of additional resources or support. Identifying these students early will help to address issues before they become bigger or more complicated to increase student retention and staffsuccess. to document interactions with a student. This allows users to see what a student has discussed with other faculty and staff and make sure we are sharing consistent information when working with students. Additionally, these notes allow all faculty and staff to see a full view of the student.

Steps

  1. From the Faculty/Advising portal, select the listActive typeAlerts fortab, thebased studenton your role
  2. Click on the bubble with a plus signalert icon to add an advising note
    • You can hover overIf the iconsicon tois seered, the functionstudent ofhas eachactive alert(s) that require action
    • If the icon is green, the student has resolved alert(s) 
    • If the icon is gray, the student has no current or historical alertsadvising1.pngalerts1.png
  3. ReadInformation about the noticealert aboutsuch howas notesclass the alert is for, course instructor, and date of alert are used. Remember that these are public notes that can be read by any user authorized in Slateprovided for Currenteach Studentsalert. To address the alert, click the Address Alert button.alerts2.png
  4. Confirm the student IDyou andare nameworking matchwith.
  5. You will two to three options for acting on an alert:
    • Outreach Initiated: you have contacted the student to let them know you arehave enteringseen the alert and make sure they have what they need to act on it themselves
    • Addressed: you have spoken to the student and helped them act on the alert. For example, if the student has missed an exam, helping them to reschedule the exam would be addressing the alert.
    • Resolved: the alert has been taken care of. For example, if a notestudent about.

    • Thean dateexam and needs to reschedule it, the alert will be pre-selectedresolved forwhen. youthey
        have
      • Youcompleted canthe selectretake. Note that not all alerts are able to be resolved and some (like no-login alerts) will be auto-resolved by the system when a previousstudent datecompletes ifan theaction. note(such interactionas tooklogging placein earlieradvising2.pngto a Moodle class)
    • Select the note type. You may select multiple if the note covers multiple types.
    • The note semester will be pre-filled for you.
    • You may or may not have the option forto privatemake notes.you Forcomments userson withoutthe alert into an advising note. Checking this option,box skipwill tocreate stepa 9separate advising note on the student's record.
      • ForIf usersyou withclick on this box after entering comments (step 7) your text may be removed. Simply click on the optionCreate forAdvising privateNote notes,from pleaseComments seebox LINKadvising3.pngagain, copy the text from the comment box, recheck the checkbox, and paste your text into the comment box.
    • Enter yournotes noteabout contentthe interactions with the student about this alert. This is optional in some cases
    • Click submit. You will be takenreturned to athe list of all of the notesalerts for the student.advising4.pngalerts3.png
