Page 14 2021-22 Graduate Student Regulations: D. NON-MATRICULATED STUDENTS 1. An individual may enroll at Clarkson University for special study on either a full-time or part-time basis. Although such individuals are classified as nonmatriculating, they are provided an opportunity for academic study with concentration in a particular area of interest. This status may be used to obtain exposure in a particular area as a foundation for further academic work. Many persons with a degree use this status to gain exposure to another discipline without pursuing a degree. Students who are enrolled as non- matriculated students may not earn a degree or advanced certificate from the University without gaining admission to a degree granting, or certificate-granting program. 2. Admission is obtained through the Graduate School. Graduate non-matriculated students may accumulate up to 9 credit hours of coursework credit while in this status and must matriculate into a Clarkson degree or advanced certificate program to earn credit beyond this. Graduate non matriculated students must have received an undergraduate degree prior to course enrollment unless they have evidence of proficiency in the subject area of the course as determined by the designated responsible administrator(s).
Process
To prevent confusion with the degree seeking application, the registration form is only obtained from a CU staff member and not available on the website. This form is in the Graduate Slate instance.

The required fields are such for person and application creation in PeopleSoft or reporting purposes.
We link to the course schedule but this would be an opportunity for further automation/integration.
Once a person has received the link, completed and submitted the form, a non degree application is created in Slate. The graduate coordinator for the program reviews the information particularly the course requested to make sure it’s a graduate course and that the program allows for non degree students. They also confirm we’ve received at least an unofficial transcript and adds the file to ‘Non-degree registrations’ bin. The Graduate School has deemed it a best practice to obtain at least an unofficial transcript before the registration is sent to the program for approval to confirm the applicant has at least a bachelor’s degree. Bio-demo information will load into PeopleSoft.
If they have any questions they’ll reach out to the department and/or recruiter before moving it forward.
Once decided that the application should be reviewed by the program chair or designee, the graduate coordinator confirms the correct application reviewers are listed and moves the file to Non-degree Registrations Review bin. We only have auto population rules in place for those programs that often have nondegree applicants, the grad coordinator may have to add if they aren’t listed. The application will load into PeopleSoft.
The graduate coordinator will notify the department that there’s a file to review and they will complete the Non-degree registration review form, either approving, denying or requesting more information. If denied or more info is needed the graduate coordinator will reach out to the applicant. If approved, the coordinator moves the file into the ‘Completed Nondegree Registration’ bin and the applicant is notified of their CU account. Their file gets auto uploaded to PeopleSoft and is matriculated by the graduate coordinator. The graduate coordinator forwards the course information to the registrar for them to register them into the course. Advisor assignment must also be completed.
If approved, one of two paths depending on why they’re taking the nondegree course(s): They only want to take a particular course(s) and not matriculate into a program. The graduate coordinator will monitor the student similar to a degree seeking student, reminding the student if necessary the limit of 9 credits at a nondegree status. They weren’t able to complete their degree seeking application before the start of a course and plan to complete and be matriculated. The graduate coordinator will monitor similar to a degree seeking student but work with the recruiter for follow up on the completion of their degree seeking application - reminding both if necessary about the 9 credit limit and timeframe of when that will be met.
